1. Souvenir Team

Summary:  Create and purchase souvenirs to be sold at shows.. Organize and manage the souvenir table and sales that take place during the performances.

Skills:  Organization, crafting skills, creativity in production/finding show themed souvenirs, comfortable managing money, friendly and welcoming.
Show Run Commitment:  Will work most shows, except the one you attend as a parent.
Lead Responsibilities:  Lead and communicate with team members to stay on schedule and accomplish show tasks.  Determine what souvenirs to sell based on income targets. Schedule show coverage. Delegate responsibilities. Train team members on duties, processes, and technology. Keep track of income target and expense budget. Complete required reporting paperwork and reimbursement forms on time.
Team Responsibilities:  Purchase or create souvenirs to sell at all performances. Transport stock. Set up and tear down souvenir tables at the venue. Sell souvenirs before each show starts and throughout intermission. Return extra stock to the storage unit following Strike.

Your overall  job: In the weeks prior to Super Sunday your team will determine, find and/or create show souvenirs to sell at performances.
Tech Week: Ensure the souvenirs inventory is stocked and ready for each show day.
During Performances: Sell souvenirs pre show and at intermission. Store all souvenirs and the souvenirs table in a designated safe place in between shows. Complete sales audit after each show.
Strike: Tear down and box any leftover merchandise and take to the sets closet for future use. Coordinate with the Sets team to help breakdown sets and move to sets storage.

2. Box Office / Food & Party Team

Summary: Oversee and manage ticket sales at the venue. Plan and organize all food and party details for the Show Opening Night Party, Cast party, and any extra meals as needed (TBD per show). Organize and distribute Secret Pals. 

Skills: Organizationally minded, proficient at handling money and electronic ticketing tools (laptop, iPhone, transaction devices, CYT box office software (training will be provided), friendly and welcoming presence, enjoys working with people and solving problems, event planning and organizational skills.
Show Run Commitment:  Will work multiple performances, except the one you attend as a parent.
Lead Responsibilities:  Lead and communicate with team members to stay on schedule and accomplish show tasks.  Schedule show coverage. Train team members on duties, processes and technology. Organize and prepare will call tickets before each show. Reconcile show income and ticket sales. Complete required reporting paperwork. Coordinate with Artistic Team regarding cast award certificates. Work closely with Production Coordinator and Parent Team Coordinator to plan Parent Team Lead appreciation and Artistic and Production Team gifts as well as details/schedule for meals during tech week and production. Track expenses and keep spending within budget. Coordinate Secret Pals.
Team Responsibilities: Set up the box office table and equipment for each show, sell tickets at shows, resolve ticketing issues that arise at the venue during show times, and welcome patrons. Prepare and execute the Show Opening Night Party at the show venue, and Cast Party at end of production. Plan, pick up, serve, and clean up meals during tech week and production (as needed). Collect and distribute Secret Pals.

Your overall  job: 
Prior to Super Sunday - Share with families at the Second Parent Meeting how to sell tickets. Be available to answer questions about how to purchase and sell tickets for the show. Plan all parties including agenda and any music playlists for dancing. In the weeks prior to Final Dress Rehearsal - plan food and music for the Show Opening Night party. Distribute Secret Pal forms and match pals week 6 of rehearsals.
During performances: Handle will call tickets and sell tickets to last minute walk-ins. Solve any seating issues. Organize cast awards voting and parent team lead/Artistic Team/Production Team thank you gifts. Plan, pick up, serve, and clean up meals during production (as needed). Plan and organize food and music for the Cast/Crew Party after Strike. Clean up after the party and ensure the theater is back in order. Set up Secret Pals and distribute at check-out after each show.
Strike: Tear down box office area. Finalize the cleaning of the theater with the House Management Team and facilitate Cast Party (including flow and playlist).

3. House Management Team

Summary: Welcome patrons to the house, check each ticket at door, assist guests to their seats, handle any seating issues, manage the set up of  “Hug-in-a-bag” in lobby and deliver filled bags to Greenroom for distribution, provide security for entrances and exits in/out of theater during each show, ensure safety of cast/crew, audience and house.  Organize and manage the sale of refreshments at each performance. Professional dress required: All black attire.

Skills:  A friendly and welcoming presence, people skills, problem-solving abilities, comfortable handling money. Has a concern for the safety of patrons, students, and the venue. Able to navigate possible issues or with guests professionally. 
Show Run Commitment:  Must attend final tech week rehearsals to label chairs and set up house. Will work multiple performances. (6 people per show)
Lead Responsibilities:  Lead and communicate with team members to stay on schedule and accomplish show tasks.  Schedule show coverage and delegate responsibilities. Train team members on duties. Determine what concessions to sell based on income target goals. Fill out reporting paperwork. Track expenses and keep within budget. Facilitate the house during all performances troubleshooting any issues that arise. Maintain usher badges and flashlights. Work with the venue to maintain temperature of the theater and understand safety and emergency procedures if evacuation or other emergency arises.
Team Responsibilities: Purchase refreshments for sale at all performances. Transport refreshment stock. Set up and  tear down the refreshments table at the venue. Sell refreshments during all performances. Usher patrons to their seats. Oversee and enforce house rules (See Summary). Set up,  manage, and distribute “Hug in a Bag,” items backstage during each performance. Report any safety concerns and assist in emergency situations as needed. Serve as security at the theater.

Your overall  job: During the run of the show you will be responsible for acquiring, setting up, and selling refreshments, as well as looking out for the comfort and safety of our patrons, students, and venue.
Tech Week: Label and set up chairs. Purchase all refreshments and supplies needed. Staff security post within theater for all tech rehearsals and performances.
During Performances: 
Greet guests, pass out programs, help guests find their seats. Monitor guest entrances/exits during the show. Deliver Hug-in-Bags back to the Greenroom. Ensure guests stay out of cast only areas. Sell refreshments pre-show and during intermission.
Strike: Tear down refreshment area and “Hug-in-a-Bag” area. Box up leftover refreshments and give them to the Production Coordinator to store at Costume Closet. Finalize the cleaning of the theater house.(Work with Box Office/Food & Party Team)

4. Publicity / Public Relations Team

Summary:  Create intentional publicity and marketing to boost attendance at performances. 

Skills: Communication, organizational, people and phone skills, social media marketing skills, reliable transportation. 
Show Run Commitment:  Most work is done on your own time prior to opening night. One team member will set up, staff, manage, and take down the publicity table at each show.
Lead Responsibilities:  Lead and communicate with team members to stay on schedule and accomplish show tasks. Develop a marketing calendar to include photography (work with photography team on this), creation of social media posts and content delivery. Schedule show coverage. Train team and families on poster/flyers and social media campaigns. Delegate responsibilities. Work with Managing Director on management of media and marketing. Track expenses and keep spending within budget. 
Team Responsibilities: Distribute posters/flyers to community publicity boards, churches, schools, etc. Update poster tracker. Develop and implement the show social media campaign. Create, manage, staff and take down the publicity table at the venue during performances.

Your overall  job: In the weeks prior to Super Sunday - Plot out poster distributions points, explore media coverage opportunities, contact media outlets to advertise shows. Create and run social media campaigns on instagram and facebook.
During Performances: Set up, manage, staff and take down the publicity table at each show.
Strike: Assist with costume team strike responsibilities.

5. Costume Team

Summary: Provide, find, construct and manage all costumes for production.

Skills: Sewing, crafting, and assembling; thrift and online shopping; researching costume rentals; organization skills. Minor mending and hand sewing. Great attitude and flexibility.
Show Run Commitment: Possible to work some rehearsals for fittings and auditions to assist with last minute cast measurements. Must work Super Sunday, all tech week rehearsals, and will work shows depending on size of team. Required attendance at Dry Run (week 6 of rehearsals).
Lead Responsibilities: Lead and communicate with team members to stay on schedule and accomplish show tasks.  Schedule rehearsal, show, and post-show coverage. Train team members on duties. Work with the  Artistic Team to determine which costume pieces can be made, bought, or rented. Delegate responsibility for securing or creating each costume piece to each team member. Work with the Parent Team Coordinator to schedule transportation of costumes to and from rehearsals for cast fittings. Log and manage each costume item per cast member. Track expenses and keep spending within budget. Complete required reporting paperwork.
Team Responsibilities: Sew, craft, assemble, and repair costumes as needed and skills allow. Shop as needed. Pull costumes from Costume Closet,  Pick up rental pieces.  Handle fittings, labeling, sorting, organizing, inventorying, set-up/tear-down, and costume area management during rehearsals, tech rehearsals & shows. Maintain and/or fix any costumes needed during the run of the shows. Launder (or dry clean) all costume pieces following the production and  return to storage. Return rental pieces.

Your overall job: In the weeks prior to Super Sunday - Pull, find, or sew all costume pieces. Put together costume inventory for each actor/character. Work with the Director to decide overall costume needs.
Tech week: Be on hand to solve any costume issues.
During Performances: Be on hand to solve any costume issues.
Strike: Intake, organize, clean, and restock all costumes and accessories to the costume closet.

6. Props Team

Summary: Provide, construct, find, and manage all required props for the production.

Skills: Designing, creating, and assembling. Thrift and online shopping. Researching rentals.
Show Run Commitment:  All props completed and delivered by the deadline provided by the Director. Team members will work Super Sunday, tech week, and performances, except for the show you attend as a parent. Required attendance at Dry Run (week 6 of rehearsals).
Lead Responsibilities: Lead and communicate with team members to stay on schedule and accomplish show tasks.  Schedule rehearsal and show coverage. Train team members. Work with Director to determine which props can be made, bought, and/or rented. Delegate responsibility for securing or creating each prop to a team member. Track expenses and keep within budget. Props Lead meets with the Artistic Team and Sets Lead before production begins and again on weeks 3 & 6 of rehearsals. Work closely with the Sets Team to determine what are sets and what are props.
Team Responsibilities: Locate, thrift or online shop, borrow, or create all required props for the show. Manage props during the production. Handle any necessary prop repairs or replacements. Maintain and fix any props that need it during the run of the shows. Assist with quick costume changes.

Your overall  job: In the weeks prior to Super Sunday - find, purchase, or build all props for the show. Attend Dry Run on week 6 of rehearsals, all tech week rehearsals and shows.
Tech week: Be on hand to solve any props issues.
During Performances: Be on hand to solve any props issues. Help monitor the green room and assist with quick changes as needed.
Strike: Intake, organize, and restock all props to the costume/set closets.

7. Backstage Team

Summary: Perform backstage operations during shows.

Skills: Follows direction, adapts to change easily, quiet movement, lifting of some heavy objects, not easily distracted. Work well with others. Direct student crew members during show run.
Show Run Commitment: Present at Dry Run on week 6 of rehearsals, all tech week rehearsals and all shows.
Lead Responsibilities: Manage crew members. Be familiar with script. Attend Dry Run (week 6 of rehearsals). Lead, train, and communicate with team members to stay on schedule and accomplish show tasks. Create scene binders. Post scene synopsis by each side of the stage and green rooms, etc. Serve along with team members in backstage duties.
Team Responsibilities: Become familiar with the script in order to help with backstage needs. Move set pieces and  furniture on and off the stage during Tech Week and all shows. Operation of special effects as needed, i.e. fog  machine. Keep actors quiet and orderly backstage during the show. Attend Dry Run (week 6 of rehearsals).

Your overall  job: Performing backstage operations during the show. Attend Dry Run on week 6 of rehearsals, all tech week rehearsals and shows.
Tech week: Work backstage helping crew members with moving set pieces, assisting with quick changes, executing any stage effects, etc.
During Performances: Work backstage helping crew members with moving set pieces, assisting with quick changes, executing any stage effects, etc.
Strike: Help strike set pieces, remove spike marks, clean up the backstage area and help load trucks for storage units.

8. Sets Team

Summary: Design, create, paint and manage sets for the production.

Skills: Building, assembling, painting (both artistic and non artistic), creative and aesthetic vision. Set design and construction experience is helpful. 
Show Run Commitment: Work times will be determined by team lead. Will include Super Sunday, Strike, and any additional set move-in day as required by the director. Required attendance at Dry Run (week 6 of rehearsals).
Lead Responsibilities: Work with the Director to design the set. Design and supervise construction. Utilize and repurpose existing set pieces as much as possible. Lead, train, and communicate with team members to stay on schedule and accomplish show tasks. Schedule set transportation to/from production space, crew for installation, and breakdown. Track expenses and keep within budget. Organize/schedule painting of sets. Seta Lead meets with the Artistic Team and Props Lead before production begins and again on weeks 3 & 6 of rehearsals. 
Team Responsibilities: Build, paint, assemble, and transport sets according to the set design. Move sets into performance space on Super Sunday and store during run as required. Move sets out at strike and transport sets to storage facility. 

Your overall  job: In the  weeks prior to Super Sunday - Build/find any set pieces. Paint all set pieces. ALL set pieces must be complete prior to Super Sunday! Only assembly at the theater on Super Sunday. No building or painting on site.
Super Sunday: Move in and assemble all set pieces, and set dressings.
Tech week: Maintain/fix set pieces if issues occur.
During Performances: Maintain/fix set pieces if issues occur.
Strike: Strike all set pieces and take them back to the set storage. Ensure stage and backstage is repaired and left as it was found.

9. Tech Team

Summary: Run Music and lights for techweek and performances.

Skills: Sound and lighting experience is helpful, a willingness to put in time to be trained by the Technical Director or Sound Engineer. if you are not experienced. Ability to follow directions of Show Caller. Flexible, team player, have a great attitude.
Show Run Commitment: Attend Lighting and Sound board training on Super Sunday, attend Tech Week, will work most performances (except show you attend as a  parent – dependent upon coverage availability), and Strike. Required attendance at Dry Run (week 6 of rehearsal).
Lead Responsibilities: Schedule tech transportation to/from production space, crew for installation, and breakdown. Track expenses and keep within budget. Coordinate with Tech Director, Sound Engineer, Show Caller and Crew Director to identify needs and schedule show coverage.
Team Responsibilities: Transport, set up, and run technical equipment during Tech Week and all shows. Technical training will be provided if necessary. Return all equipment to the storage facility and/or rental companies.

Your overall  job: Assist Tech Director, Sound Engineer, Show Caller and Crew Director with tech needs for show.
Super Sunday: Train with the Tech Director or Sound Engineer on how to operate the sound and light board.
Tech week: Work with Show Caller refining timing of sound and light cues and work together to troubleshoot any tech issues with the Tech Director or Sound Engineer.
During Performances: Execute sound and light cues as Show Caller instructs.
Strike: Work with the Tech Director, Sound Engineer, Show Caller and Crew Director to tear down all equipment and pack on the truck to go back to the costumes storage unit.

10. Greenroom / Hair & Make-up Team

Summary: Assist cast with hair and makeup during production. Supervise cast and crew in greenroom during rehearsals, tech week and performances. Oversee cleaning of venue space throughout tech week, shows and Strike. 

Skills: Comfortable working with kids, fashion and aesthetic sense, skill with make-up and hair. Must have patience, conflict resolution skills and ability to be firm and follow through.  
Show Run Commitment:  Will work during scheduled weekly rehearsals, Super Sunday, all tech week rehearsals and will work most shows depending on size of team. Required attendance at Dry Run (week 6 of rehearsals)
Lead Responsibilities: Lead and communicate with team members to stay on schedule and accomplish show tasks.  Schedule rehearsal and show coverage. Train team members on duties. Work with the Artistic Team to design hair and make-up needs for each role. Organize cast cleaning pods for cleaning of theater, according to dressing room assignments, following each tech rehearsal and show.
Team Responsibilities: Assists and trains cast to do their own hair and make-up. Supports hair and make-up needs in the greenroom throughout production, especially with our youngest and first-time cast members. Supervise cast and crew in all dressing spaces and greenroom spaces during weekly rehearsals, Super Sunday, tech week, and performances. Work with students to accomplish cleaning of the venue, according to the dressing room assignments, under the direction of the Lead. 

Your overall job: In the weeks prior to Super Sunday - Learn make-up and hair design for each character. Assist with/attend the make-up tutorial. Assist with monitoring students during rehearsals.
Tech week: Help students with their hair and make-up application. Monitor students in the greenroom and dressing areas. Assist with costume changes, as needed. Report any challenges to the Production Coordinator.
During Performances: Help students with their hair and make-up application. Monitor students in the greenroom and dressing areas. Help with costume changes, as needed. Report any challenges to the Production Coordinator.
Strike: Assist with the monitoring of students and with cleaning the overall greenroom areas. Clean, organize, and restore all makeup and wig bins to the costume closet.

11. Photography / Video / Historian Team

Summary: Photograph and video rehearsals, events, and performances for use on social media, marketing, program, souvenir media thumb drive, and show book. 

Skills: Photography, video, and photo editing skills; experience with creating photo books and media.
Show Run Commitment: Attend and shoot rehearsals and performances, as directed by the team lead. 
Lead Responsibilities: Lead and communicate with team members to stay on schedule and accomplish show tasks.  Schedule rehearsal and show coverage. Train team members. Consolidate and organize photos for use. Provide video and photos for the all media thumb drive. Approve final edit of the show book once produced. Track expenses and keep spending within budget.
Team Responsibilities: Responsible for taking headshots for the program (usually done at Friday auditions), candid photos, creating photo media for publicity. Following the show, create a show book for the entire show as a permanent record.

Your overall job: Take head shots of all cast and crew on audition day. In the weeks prior to Super Sunday, attend 3-4 rehearsals to capture candids of cast and crew. (including Dry Run, week 6 of rehearsal)
Tech week: Take candids of cast, crew, parent teams, etc.
During Performances: Video performance for media drive, take posed photos of all needed groups.
Strike: Assist any team if able. Ask Production Coordinator. 
Post Strike: Assemble a showbook for ordering.

12. Program Team

Summary:  Create a professional program for the production. 

Skills: Communication and organizational skills. A working knowledge of graphic design and layout. 
Show Run Commitment: Complete program between first parent meeting and program deadline (Approx. 10 days  before opening). 
Lead Responsibilities:  Lead and communicate with team members to stay on schedule and accomplish show tasks. Train team members on duties. Delegate responsibilities. Works with Managing Director to oversee collection of program and ad information and payments. Track expenses and keep spending within budget. 
Team Responsibilities: Get all program information from the Artistic Team, production teams, parents, and cast.  Responsible for educating parents on selling program advertising space to local businesses, organizations, schools, etc.  

Your overall job: Work with Managing Director to collect all information and help with the creation of the production program.
During Performances: Check in with house management team lead and assist as needed
Strike: Assist with costume team strike responsibilities.

13. Fundraising Team

Summary:  Organize and manage fundraising for the show, including but not limited to: raffle, auction, giving tree, etc…( to be determined by the Board of Directors for each show) Seek direction from Parent Team Coordinator as to specific fundraising plan for current show.

Skills: May include but not limited to: Confidence in approaching donor individuals and companies, organizational ability, crafting or creative skills for producing/finding themed baskets and displays, comfortable handling money, friendly and welcoming, excellent people skills, comfortable with selling/promoting to patrons, marketing skills..
Show Run Commitment: Will work most performances
Lead Responsibilities: Lead and communicate with team members to stay on schedule and accomplish show tasks.  Determine what fundraising items to sell (if necessary) based on income targets, with direction from the Parent Team Coordinator. Schedule show coverage and delegate responsibilities. Train team members on duties, processes, and technology. Keep track of the income target and budget expenses. Complete required reporting paperwork and reimbursement forms on time.
Team Responsibilities: Work closely with team lead as to specifics regarding fundraising for each production. This may include but is not limited to: procuring donations in quality and quantity to hit the income target and/or purchasing/creating items to sell at all performances. Prepare necessary forms and signage to be displayed at the venue throughout the shows. Write thank-you letters (or provide list of donations to the Board of Directors for letters). Transport stock to and from storage. Promote fundraising sales before each show starts and throughout intermission. Set up and take down fundraising tables and displays at the venue for each show. 

Your overall job: In the weeks prior to Super Sunday your team will be directed to, find, procure and/or create fundraising items to sell and/or promote at all performances (as directed by the Board of Directors)
Tech Week: Ensure fundraising items are prepared and ready for each show day.
During Performances: Selling and promoting during  pre show and at intermission. Store all items, table and signage in a designated safe place in between shows. Complete sales audit after each show.
Strike: Tear down and box any leftover merchandise and take to the sets closet for future use. Coordinate with the Sets team to help breakdown sets and move to sets storage.
